Philanthropy & Community Engagement Administrative Assistant

The Philanthropy & Community Engagement Administrative Assistant Implements strategies to achieve the goals for the organization and Philanthropy & Community Engagement.

Sustains policies, procedures and programs.

RESPONSIBILITY LEVEL:

Implements strategies to achieve the goals for the organization and Philanthropy & Community Engagement.

Typically works on projects and tasks that span 3 - 12 months.

PRINCIPAL DUTIES:

1.

Coordinate and support the execution of Philanthropy & Community Engagement activities by maintaining accurate records, documentation, and tracking across assigned systems and tools.

2.

Implement, sustain, and update Philanthropy & Community Engagement processes, procedures, and templates to ensure accurate, timely, and effective access to Community Engagement resources across Goodwill's territory and identified priority areas.

3.

Coordinate the intake, review, processing, issuance, and tracking of Goodwill Cares Community Assistance Vouchers, ensuring applications submitted by approved community partners are handled accurately, timely, and in accordance with established program guidelines.

Escalate exceptions, incomplete submissions, or policy questions as appropriate.

4.

Track community engagement activities, partnerships, volunteer efforts, and outcomes; ensure data is entered accurately and in a timely manner to support reporting and analysis.

5.

Prepare routine and ad hoc reports, dashboards, and summaries related to Community Engagement activities to support leadership review and decision?making.

6.

Serve as a subject matter resource for Philanthropy & Community Engagement systems, tools, and processes; provide timely guidance, troubleshooting, and user support to internal stakeholders, while triaging requests from external stakeholders by way of the Community Engagement email box.

7.

Support compliance and record?keeping requirements related to Philanthropy & Community Engagement activities, ensuring alignment with organizational policies, procedures, and standards.

8.

Assist with logistical coordination for Philanthropy & Community Engagement initiatives, meetings, and events, including materials preparation and internal coordination.

Event attendance may be required, including occasional evenings or weekends.

9.

Identify operational issues, process gaps, or data inconsistencies; apply problem?solving skills to resolve issues or escalate as appropriate.

10.

Monitor data quality and consistency across Community Engagement systems, recommend improvements to data practices to strengthen reporting and insights.

11.

Project and Change Management: Effectively plans and manages own work to reliably complete routine job responsibilities and special assignments.

Periodically serves as a team member or subject matter expert on formal or department projects.

Effectively engages in change affecting her/him, communicating appropriately with supervisor.
